Privacy Policy
Last updated: November 1, 2026
The Utility Biller (“we,” “us”) provides billing and customer management software to water systems. This policy explains what information we collect, how we use it, who we share it with, and how we protect it. It covers this website, the staff application, and the customer portal at my.theutilitybiller.com.
When you are a customer of a water system that uses our software, that water system decides what information it collects about you and how it is used. We process that information for the water system so it can bill you and accept your payments.
Information we collect
- Contact information — name, email address, phone number, and mailing or service address.
- Account and billing information — utility account numbers, meter readings, water usage, bills, and payment history.
- Payment information — card or bank account details you enter to pay a bill. These are collected and stored by our payment processor, Stripe. We do not store full card or bank account numbers on our servers.
- Login information — your email address and sign-in details, handled by our authentication provider.
- Information you send us — messages you submit through our contact form or by email.
- Technical information — IP address, browser type, and basic usage logs that are created automatically when you use our services.
How we use information
- To create and deliver utility bills and notices.
- To process payments and send receipts.
- To let you sign in and manage your account.
- To respond to questions and support requests.
- To keep our services secure, prevent fraud, and fix problems.
- To meet legal and accounting requirements.
We do not sell your information, and we do not use it for advertising.
Who we share information with
We share information only as needed to provide our services:
- Your water system — the utility that provides your service can see your account, usage, billing, and payment records.
- Service providers — companies that help us run the service, including payment processing (Stripe), sign-in (Auth0), email delivery, printed mail delivery, and cloud hosting and database providers. They may use the information only to perform services for us.
- Legal requirements — when required by law, subpoena, or court order, or to protect the rights and safety of our users or others.
- Business transfers — if our business is sold or merged, information may transfer to the new owner under this same policy.
How information is shared
Information is shared electronically over encrypted (HTTPS/TLS) connections, through the secure application interfaces of our service providers, or by printed bills sent through postal mail. Water system staff access customer records through our application after signing in.
How we protect information
- All traffic to our website and applications is encrypted with HTTPS.
- Data is stored with cloud providers that encrypt it at rest. Sensitive credentials receive additional encryption.
- Card payments are handled by Stripe, a PCI-DSS Level 1 certified processor.
- Access requires sign-in, and staff only see the data for their own water system based on assigned roles.
- We limit employee access to information to what is needed to support the service.
No system is perfectly secure, but we work to protect your information and will notify affected users of a breach as required by law.
How long we keep information
We keep billing and payment records for as long as the water system uses our service and as required for accounting and legal purposes.
Your choices
You can view and update your contact information in the customer portal. To request a copy, correction, or deletion of your information, contact your water system or email us. Some records, such as billing and payment history, may need to be kept to meet legal requirements.
Children
Our services are not directed to children under 13, and we do not knowingly collect their information.
Changes to this policy
We may update this policy from time to time. We will post the new version on this page and update the date above.
